Tŷ Cerdd Privacy Statement

Safeguarding your privacy is important to us at Tŷ Cerdd and we are committed to letting you know how we use your personal information and data. Tŷ Cerdd will only contact you through your selected method(s) of communication to provide the products and services you have requested from us.

This policy explains when and why we collect personal information, how we use it, the conditions under which we may disclose it to others and how we keep it secure.

References to "we", "us" or "our" in this Privacy Policy are references to Tŷ Cerdd – Music Centre Wales, a Charitable Incorporated Organisation (CIO) in England and Wales, registered charity number: 1152853. 1. How we collect information about you
We may collect personal information from you when you interact with Tŷ Cerdd. There are many occasions when this could happen, for example through our website or on the telephone: if you enquire about our activities and services, register with us as a member, purchase products from our online shop (more information on this below), enquire about funding opportunities, apply for a job or if you register to receive our newsletters.

2. What information do we collect about you?
· The personal information we collect might include your name, title, email address, postal address, telephone numbers, your role within an organisation and in addition to this, if you are accessing our website, your IP address and information on what pages are addressed - and when. This is received anonymously through the medium of Google Analytics and recorded every six months.
· For member organisations, we may also ask for some additional, non-personal information such as number of members per group, age demographic within the society and any social media handles that might allow Tŷ Cerdd to follow your news and activity.
· If you purchase a product through your card information is not held by us, it is collected by our third party payment processors, Tictail, which specialise in the secure online capture and processing of credit/debit card transactions. Their privacy terms and conditions can be found here:

3. Our use of this information and who sees it
The personal information we collect will be used to:
• provide you with the important advice and support you’ve asked us for, such as member benefits, services, publications, newsletters and other services which we think you may be interested in.
• provide or administer activities relating to all our services: updating you with important administrative messages, to help us identify you when you contact us, and help us to properly maintain our records.
• provide you with information about our future plans. This may be letting you know about new or enhanced services that we hope will be useful and interesting to you, and may include fundraising updates; of course, we will only do this either with your consent or where we believe you will expect to be updated and contacted by us. You can of course ask us at any time to change how we contact you, simply contact
• provide analysis so that we can better understand our supporters, their preferences and needs, and important trends. This may mean looking at all the interactions you have with us so we can aim to offer you the right information or offers at the right time.
• improve your experience with us. We may use your information to enhance the service that we provide, to improve our information and communications or to personalise the website to better suit your needs.

There may be occasions where we need to anonymously disclose your information if required to do so by law, for example: to comply with rules regulations as set out by our core funders, Arts Council of Wales.
Your personal information is stored on a secure database for no longer than is necessary for the purposes of its use. All documents with the inclusion of sensitive data are password-protected, with permissions granted to certain members of staff. We carry out periodic deletion of data whose retention period has expired and/or when the need to continue holding such data is no longer present.

4. Security
We take the security of your personal information extremely seriously. We've implemented appropriate physical, technical and organisational measures to protect the personal information we have under our
control, both on- and off-line, from improper access, use, alteration, destruction and loss. And, we only
keep it as long as is reasonable and necessary.

Here are some of the ways we protect your personal information:

· Your information is kept securely in the office and on our locked databases, or, where relevant, anonymously by our funders.
· Our website may contain links to other sites. While we try to link only to sites that share our high standards and respect for privacy, we are not responsible for the content or the privacy practices employed by other sites. Please be aware that partners’ links on our site may collect personally identifiable information about you. This privacy statement does not cover the information practices of those websites or advertisers.
· Communications in connection with the services we provide may be sent by e-mail. Whilst we endeavour to keep our systems and communications protected against viruses and other harmful effects we cannot bear responsibility for all communications being virus-free.
· The transmission of information over the internet is never completely secure. We will do our best to protect your personal data, but cannot guarantee the security of your data transmitted to our site; any transmission is at your own risk.

5. Cookies
‘Cookie’ is a name for a small file, usually made up of letters and numbers, which is downloaded onto your device such as a computer, mobile phone or tablet when you visit a website.
They let websites recognise your device so they can work better and also gather information about how you use the site. A cookie by itself cannot be used to identify you.
